Submission of Accelerators and Technology publications in CDS (CERN Document Server) – General rules and steps

Before submitting an Accelerators and Technology publication in CDS, please check if the following elements are properly prepared and listed:

  • the publication is drafted with the WORD template for reports​​ (preprint, conference paper, journal publication) and notes​ or with the LaTex templates. Please note that the publication may also be a poster or a presentation for which there is no template;
  • the keywords list clearly indicates the pre-defined keywords, and some free keywords when applicable.

The responsibility of the content and the approval procedure depend on the type of publication:

  • for Accelerators and Technology reports and slides, it is with the department head (DH) of the main author. The approval of the DH is required. Sector Head approval is required if external submission.
  • for Accelerators and Technology project reports, it is with the project leader and sometimes with the department head of the main author. The approvals of the project leader and DH are both required.
  • for Accelerators and Technology notes and project notes, it is with the author. The approval of the group leader of the main author is required.
  • For the FCC project (including EuroCirCol and Easitrain), publications shall be submitted through the FCC submission portal.Once all ABP steps are achieved the secretariate can start the submission procedure within CDS.

Once the necessary approvals are obtained/validated, we can start start the submission procedure in CDS.

An automatic record number will be attributed to the publication at the end of the submission procedure. This reference will be sent to the author who will have update the source file including this number and send the PDF to be transferred to abp.reports@cern.ch (secretariate will proceed with the upload).

ABP approval and Submission process

Publications should be addressed to the generic mailbox abp.reports@cern.ch.

Before submitting the document, check previous points (format, keywords, type of document Report or Note) and collect necessary approvals (supervisor, Group Leader, Head of Department) and only then can the document be submitted on CDS: ABP Reports – Publication Approval request from should be filled : https://forms.gle/Ed6PLvfYzmkrKNiq5

For reports, slides and posters, we use the CERN Preprints Automatic Numbering portal and select Accelerators and Technology reports.

For notes (including regular notes “NONE”, machine development notes “MD”, performance notes “PERF”, technical notes “TECH”, press articles or cuttings “PRESS”, project newsletters “NEWS”, brochures and flyers “BROCHURE”), we use the Departmental Notes portal and select Accelerators and Technology notes.

Thesis Submission

ABP process: please always inform your supervisor about the upload and provide number and cds link to abp.reports@cern.ch.

Theses written on CERN work or under CERN staff supervision. All theses qualify: undergraduate and graduate (Diploma, Bachelor, Master, PhD, etc). This series is open to theses in any language (only an English abstract is required). The submitted papers will be checked for relevance by the CERN Library.
Users: authors of theses.
At the end of the submission, a report number of the form CERN-THESIS-YEAR-XXX will be automatically attributed to the document.
The source document must be in pdf format and with a file extension of ‘.pdf’.

Who should submit their thesis?

  • Students paid by CERN (CERN Doctoral Student Program), having used CERN equipment, advised by CERN staff.
